Head Of Logistics

Role Purpose:

The Head of Logistics Operations plans, organizes, directs and controls all logistics activities within MAF Retail Distribution Centers in UAE, with ensuring their high level of service and its compliance with Company’s policies and procedures.

The role holder is accountable for the KPI’s and P&L of sites in area of responsibility, with primary focus on service levels, cost optimization and operational excellence initiatives.

Role Details – Key Responsibilities and Accountabilities:

Strategic Planning

  • Lead and develop an effective site team, including preparation of succession planning
  • Work with Commercial and Replenishment teams on operational forecasts
  • Plan for current and future demands including manpower requirements and operational resources,
  • meet prescribed productivity and service goals
  • Oversee definition of the KPI’s for Distribution Centres and ensure their implementation and accuracy
  • Propose improvement projects and initiatives according to current and anticipated future business needs

Logistics Management and Optimization

  • Guarantee effectiveness of all on-site operations from goods in, inventory management, order preparation, dispatch and admin processes, as well as the returns and QC service levels
  • Secure allocation of appropriate resources between functions to ensure a smooth flow of work through the DC’s and that KPI’s and service levels are achieved
  • Conduct staff meetings to organize warehouse activities
  • Ensure the operation delivers excellent customer service by developing efficient working relationships between teams at the Distribution Centre and the business stakeholders
  • Build working environment oriented into “quality first” principle, to provide highest possible level of satisfaction for the end customer, through secured high quality of goods and services from DC’s
  • Lead the deployment of continuous improvement actions, lean and 5S methods in all DC’s
  • Ensure the development of systems and procedures for operating and managing physical facilities, human resources, equipment and products in a cost-efficient manner
  • Develop suitable programs for maintaining Company standards of sanitation, maintenance, security, housekeeping, quality and safety of equipment and facilities in a manner that assures their most efficient operation
  • Remain knowledgeable regarding changes in hardware and software technology

Policies and Procedures

  • Ensure compliance of logistics activities with all legal regulations
  • Develop Distribution Centers’ Standard Operating Procedures (SOP), ensure their implementation and manage updates following any approved business change
  • Guarantee that the information supplied by the logistics providers or logistics systems is accurate timely and usable
  • Oversee proper preparation of orders and invoicing of Stores, to perform efficiently and with no negative impact on stores, while maintaining the inventory according to Company’s financial procedures

Human Capital

  • Be a role model and ensure the application of Majid Al Futtaim Retail corporate policies and guarantee the laws, regulations and cultural practices of the operating countries are followed and respected
  • Practice the company values and guarantee the same is respected and followed by the department team members
  • Ensure implementation of the performance management process
  • Provide mentorship for the purpose of developing a continuous talent pipeline for key roles
  • Identify training needs and coordinate with the HC Department creation of training schedules

Finance

  • Control the P&L of DC’s, ensuring accurate monthly submissions to Finance Department
  • Co-create an annual operating budget and manage a system of controls to ensure that service levels and operational performance goals are met within prescribed and approved cost
  • Review financial reports for accuracy and consistency
  • Propose and implement projects to increase productivity, performance and effectiveness of the operations to reduce distribution costs.

Vendor Management & Procurement

  • Maintain good / fair working relations with manpower agencies, logistics providers and suppliers
  • Oversee provider’s performance incl. frequent joint KPI’s reviews and corrective actions when required
  • Manage operational procurement of DC’s assets and consumables in compliance with company policy and DOA

Definition of Success

  • On-time: receiving of goods, preparation of orders and loading in all DC’s
  • Quality, respected cold chain and security of the goods being delivered
  • Effective inventory management for available goods, with allocation rate for orders of Stores above 99.9%
  • Preparation accuracy rate for orders of Stores above 99.8%
  • Punctuality of deliveries above 95% deliveries on-time
  • DC’s operational cost managed within or below the budget
  • Implemented strategies to meet organization needs

Functional/Technical Competencies

  • Proven deep expertise on warehousing operations, systems and financials flows
  • Ability to lead, coach and develop large teams including the recruitment for personnel to support the growth of the business
  • Expertise in budgeting, operational forecasting, corresponding planning of resources and staffing
  • Understanding and familiarity with WMS, voice-picking and order sorter system
  • Extensive industry knowledge

Personal Characteristics and Required Background:

  • Bachelor Degree relevant to Logistics or Business Administration
  • 10+ years professional experience
  • 5+ years of operational leadership experience in retail logistics for Perishable and/or FMCG products
  • Proven track record of driving best practices, improving productivity and profitability throughout operations with leading-edge industry’s practices, innovative use of technology, cost reduction strategies
  • Have worked for a 3PL previously or within an in-house retail logistics
  • Strong performance-based supply chain acumen, planning, presentation and communication skills

  • Responsible for Agro Commodities Long Storage and Handling to Maintain needed DOH for Production during off Season – and Control all Storage condition for 2,411 MM EGP Materials Spend to Optimize Material 5% annual Planned waste equivalent to 20 MM EGP through applying needed storage conditions (1% waste increase ~ 25.0 MM EGP)

Job Purpose:

  • Operational responsibility for efficient and smooth logistics and distribution supply chain operations for goods across all Pfizer businesses within the agreed performance standards, in a well-planned, secure, cost appropriate and compliant manner. Distribution and Logistics includes clearance of goods, reception, storage, distribution to Pfizer’s customers, transportation, and inventory counts and adjustments, following legal, regulatory, environmental and security requirements.
  • Manage inventory management program in market.
  • Accountability of Budget including preparation of annual, variance and forecasting reporting in line with GSC processes
  • Develop and implement required logistics/supply solutions together with the LSP to ensure adequate logistics support to business strategies in alignment with Global Supply Chain functions and practices.
  • Initiate and lead continuous improvement and operational excellence process and initiatives in the market related to logistics and distribution supply chain
  • Participate in strategic projects for GSC related to network logistics changes, product change management, LSP changes (applicable to LSP markets) and other business critical projects in the market as assigned by the Logistics Manager.
  • Accountability for efficient Returns, Recalls and Destruction processes.
  • Ensure practices and processes are in compliance with Good Distribution Practices (GDP) and Pfizer’s standards in logistics, customs, trade, security, EHS, quality and serialization as well as any applicable laws and regulations (Local, US or International)
  • Drive and support logistics operations optimization through Logistics COP.

Warehousing and Inventory Management

  • Accountable for implementing and leading a robust inventory management program that ensures inventory accuracy for both quantity and product quality between physical and system (for LSP markets this includes LSP and Pfizer ERP book stocks). The inventory program should include at minimum
    • Process for an annual full count and pre-defined periodic cycle counts
    • Process for movement of products to appropriate quality locations (quarantine to saleable, saleable to hold/destruction) to ensure availability of inventory in appropriate quality locations at any given time
    • Process for system reconciliation
    • Process for finance recording, reconciliation and adjustments

This is achieved by liaising with the Finance team, Quality team, ERP functional teams, GFSS, and the LSP’s on inventory and Sales Order Management issues.

  • Liaising with LSP’s/ Project teams on development of inventory interfaces / processes with regular monitoring and correction of errors.
  • Regular reconciliation of LSP’s and Pfizer ERP inventory levels and action’s implementation as needed.
  • Accountable for implementing and leading the destruction process for expired/near expired/damaged inventory in destruction location at the logistics center
  • Support in identifying opportunities at obsolescence reduction and inventory on hand as guided by finance management

Distribution Operations and Reverse Logistics

  • Lead the implementation and monitoring of an efficient and effective distribution operations to market(s) by balancing cost and lead time
  • Selection and validation of appropriate transportation modes to market(s)
  • Ensure product integrity through delivery chain through standard operating procedures
  • Liaise with LSP’s and demand managers in transferring product between markets. This includes, arranging temperature conditions paperwork, managing transactions within ERP, and sourcing credits from the LCZ, where necessary.
  • Lead the procurement management of packaging material and data loggers to ensure availability for shipments while maintaining optimal cost chain – implement reverse logistics wherever possible
  • Lead the returns and recalls management process and destruction process
  • Lead the Market serialization program with respect to Logistics enablement and in accordance with market directives and requirements.

Material Master Management

  • Management of the local Item Master Process (Set-up & Maintaining Master Data)

Distribution:

  • Reconcile monthly Third Party Invoicing.

Quality and Compliance:

  • Ensure compliance with required regulations, policies and procedures, and Pfizer standards for quality, security, customs, trade, dangerous goods, controlled products, temperature controlled and high value products and EH&S. This includes all applicable local, US, regional or international laws
  • Accountable for accuracy of ERP system in line with product information including and not limited to SKU number, description, batch details, manufacturing and expiry dates, country of origin
  • Implementation, monitoring and control of standard operating procedures related to the logistics operations (including and not limited to SPs and KPIs for Import/Inbound, warehousing, distribution and all other logistics operations
  • Lead the supplier management process through selection, contract management, compliance management/validation and performance management of supplier – this is extensively applicable to LSP markets (RFP process, Service Agreement, SOPs and KPIs), while as required (in selection of any outsourced processes) is relevant to in-house markets also
  • Co-Lead in-market Compliance and Quality Assessments or Audits with capability SME. Responsible to ensure appropriate readiness for assessments and audits in the market (including readiness with LSP) by liaising with appropriate stakeholders.
  • Lead or support external audits either from Pfizer third party or Government bodies
  • Embed QTS appropriately and maintain the incident reporting in a timely manner; ensure appropriate preventive and corrective measures are taken and in time to meet committed timelines
  • Rework Co-ordination: Liaise with Third party suppliers, regulatory, medical affairs, Business Units, Demand Management, to aid with the rework process, including arranging transportation and managing the financial aspect of reworks in local Third party suppliers

Project Management and Operational Excellence:

  • Lead and direct continuous improvement and Operational Excellence projects for the logistics operations delivering cost and process efficiencies.
  • Lead (or support) strategic projects in the market including and not limited to network logistics, product change management, LSP changes (applicable to LSP markets) and other business critical projects in the market or as assigned by the Market Lead
  • Lead and promote standardization, optimization and replication of Logistics Operations across EMEA through Logistics-COP engagement – engage in Demand and Customer Service COP forums/initiatives, actively contributing to end-to-end process optimisation and best practice implementation

Metrics / Reporting:

  • Accountable for market’s LSP / distribution related to warehousing and transportation; responsible for variance and Forecast reporting

  • Pro-actively analyze trends of data, draw conclusions and recommend/lead corrective action in order to ensure maximum efficiency of the processes.

  • Ensure IMEx 6 tools implementation in workspace (Standard Work, PCT, VMC, CI loop, Structured Gemba and Coaching deployment), prepare T1 Dashboard and Lead and direct continuous improvement projects for the logistics operations delivering cost and process efficiencies.

Your role

The Logistics Specialist is responsible for managing shipments, reporting transportation metrics, identifying trends across global transportation methods and practices, providing visibility through projects and tools, ensuring that internal customer’s needs are met and that company policy and international trade compliance regulations are adhered to.

A typical day

  • Perform and implement all custom clearance activities such as following upcoming shipment, document transactions, and day-to-day related activities in accordance with the objectives, policies, and procedures.
